Carbonless 2 Part and 3 Part Sets Explained

NCR stands for no carbon required, and the name is the explanation. There is no black carbon sheet in the set. Instead, the back of each sheet carries a coating of microcapsules and the front of the sheet below carries a reactive clay. Pen pressure bursts the capsules exactly where the nib travels, the two coatings meet, and the writing appears on the copy below. Nothing is transferred by ink, which is why a carbonless copy is always in the same place as the original and never smudges the way carbon paper did.

  • Sheet order. White goes on top and is the original you write on. Canary sits under it, then pink, then goldenrod on a 4 part set. Keeping to that order matters because everyone in the trade reads the color, not the label: hand over the white, the yellow goes in the file.
  • Which copy the customer keeps. The usual convention is white to the customer and the colored copies back to you, and that convention is the one to follow unless your crew already works the other way. Tell us at order time and we print the copy line at the foot of each part, so no one has to remember.
  • 2 part. One copy out, one copy back. Right for receipts, service tickets and anything where only two people need the record.
  • 3 part. The default for invoices and work orders, because a third copy lets the office keep a record after the customer copy leaves and the crew copy stays in the truck.
  • When 4 part is worth it. Once a fourth party needs the same paper on the same day: a warehouse as well as a driver, or a subcontractor as well as accounts. If the fourth copy would only ever be filed and never read, stay on 3 part and scan the top sheet instead. Pressure has to reach the bottom sheet through every layer above it, so a 4 part set also rewards a firm hand and a ballpoint over a soft felt tip.

What Ink and Binding Options Are Available?
