Hand Over the Card That Keeps the Next Date

Every six-month cleaning, next haircut and next oil change leaves the front desk on a small card the client keeps. That is the appointment card's whole job: it rides home in a wallet and reappears each time the wallet opens, holding the next date in front of your client. The default size matches a standard business card, so it fits the slots, holders and pockets your client already carries.

A front desk that hands out cards all week goes through them fast: 400 cost $31.86, under 8 cents a card, so a full box for a busy practice costs far less per card than a quick test batch.

What is an appointment card

It is a business-card-sized card that a dentist, salon, clinic or shop hands a client to confirm the next visit. A receptionist writes the date on it, or hands over a pre-printed one, and the client tucks it away. For the plain wallet card used as a general handout, see the Standard Business Cards.

What sizes and shapes do appointment cards come in

Pick the size by how the card gets carried. The 2" x 3.5" slots into any wallet or cardholder. The 2" x 2" square reads as a token rather than a formality. The slim 1.5" x 3.5" still holds a name, a date and a phone number. A custom size runs from 1.5" to 2" wide and 2" to 3.5" tall. For a roomier square, the Square Business Cards go bigger.

Wally keeps the next date in their wallet

Why a $17.57 stack of reminder cards keeps your calendar full.

Wally the 4OVER4 mascot handing a 2 by 3.5 inch appointment card, priced at $17.57 for 100, across a front desk to a smiling client, teal hand-drawn line art.

A hundred appointment cards costs $17.57, and the standard business-card size means each one rides in a client's wallet until the next visit. Print your logo, leave lines for the date, add rounded corners, pick a speed, and Wally gets them to your front desk fast.

Designing the date lines yourself? The blank business card template for each size marks the 1/8" bleed and the safe margin, so the ruled lines stay clear of the trim.

Appointment Card Printing Options

Every choice comes back to one question: will somebody write on this card at the front desk, or is the date printed on it?

  • A writable back. Print 4/0 to leave it blank or 4/1 to print a black grid with date and time lines, on an uncoated stock the desk can write on.
  • Rounded corners. On an appointment card this is about lasting: square corners fray first in a wallet that opens all week, and a frayed card gets thrown away before the visit.
  • Blank lines or a printed schedule. Three or four ruled lines suit a practice booking one visit at a time; a printed grid of six or eight slots suits a course of sessions booked at once, where the desk only circles a date.

If the back carries real information, such as a cancellation policy or a parking note, print it in full color and leave a clear ruled area for the handwritten date.

Which of the 72 stocks take a pen

Uncoated and linen stocks take ballpoint immediately, so pick them when the date is handwritten. Gloss stocks and the High Gloss UV Coating make ink bead and smear, so keep them for cards where every detail is printed. Synthetic plastic and rigid vinyl make a waterproof recall card, but the writing has to be printed or added with a permanent marker. The indoor magnet stock puts the reminder on a fridge, and the ultra-thick cards, up to 80pt, with colored-center stocks up to 64pt, are a statement card rather than a working one.

How much do appointment cards cost

Three hundred, the best-rated quantity on this card, cost $27.46. A thicker stock, the UV coating, rounded corners or a faster speed add to the base price. The slider below covers the first six tiers, from 100 to 600 cards.

Who orders appointment cards, and what changes for each

  • Dental practices. The six-month recall is the case for the card, so build it to survive half a year in a wallet, with rounded corners and an uncoated back. The Dental Appointment Cards are set up for this use at the same price.
  • Medical clinics. Two or three future dates on one card, plus a cancellation notice printed on the back; see the Medical Appointment Cards.
  • Salons and barbers. The card is a brand piece as much as a reminder, and the 2" x 2" square fits a salon look.
  • Veterinary clinics. Leave two ruled lines, one for the pet's name and one for the date, or print on the magnet stock for the fridge.
  • Auto service. Leave room for a mileage reminder as well as a date; the slim 1.5" x 3.5" fits a service folder.

For a thick card in a smaller square, the Mini Cards are the other format.

Appointment Cards: Frequently Asked Questions

Can the front desk write the date on the card?

Yes, on an uncoated 14pt to 18pt cover. Print 4/1 to put a black 'Your next appointment' grid on the back, and skip glossy coatings on the side you write on, since pens skate off them.

Can one card hold several appointments?

Yes. Print a grid of dates on the back, four to eight lines depending on the size, so a course of sessions or a series of visits fits on one card the client carries.
